Real extracts from the guide. The Playbook gives you the process; you run it in the recommended tools and review the result. This page does not run these workflows or generate AI results.
Create content
Task: Draft and polish one blog post.
Output: A checked, edited post of about 800 words with a title tag and meta description.
Before you start: Bring a topic, audience, next step, and one real example or number. Use your AI assistant and Grammarly for the final proofread. Free assistant plans and Grammarly Free cover this workflow.
- Write the brief: audience, problem, next step and one real example.
- Get three outlines with Prompt 2.2; choose or combine them.
- Draft one section at a time with Prompt 2.1.
- Add your own example, real number and opinion.
- Check claims against original sources (2.12), edit (2.4), then proofread and add search metadata (2.10).
Prompt 2.1 · Draft one section at a time: You are an experienced writer for [audience]. We are writing a blog post on [topic], following this outline: [paste outline]. Write only the section "[section heading]", in about [200] words. Plain English, short paragraphs, one practical example. Do not use hype words like "revolutionary" or "unlock". Do not invent statistics, quotes or results; write [SOURCE NEEDED] where a fact would help. Stop after this section and wait for me.
Worked example (fictional): Cedar & Crumb blog post
- Illustrative first draft: “…can go wrong in three ways… Studies show 87% of employees perform better after breakfast.”
- Correction: the owner listed the statistic as a claim to verify, found no original source in this illustration, and deleted it—then added the real 7:45 delivery example and the opinion from the brief.
- Final paragraph: “Last quarter we set up breakfast for 40 people by 7:45, and the trick was simple: we planned by headcount, not by item.”
Fictional business and illustrative text written for the guide. Not a tested output or a real client result.
Done when:
- Every fact, number, name and date on the Prompt 2.12 list is checked against an original source, or removed.
- The post contains at least one real example or opinion that only you could supply.
- You have read it aloud once and it sounds like you.
- It has a title tag under 60 characters and a meta description under 155.
Handle customer enquiries
Task: Build an FAQ and WhatsApp quick replies.
Output: One FAQ document with checked answers, and your most-used answers saved as quick replies.
Before you start: Bring a month of customer questions, your real prices, hours, areas and policies, and WhatsApp Business. Free route: yes. Remove names, numbers and order details; AI must not invent prices or policies.
- Collect last month’s questions without customer identifiers.
- Use Prompt 8.1 to group questions and draft answers; unknown facts stay [FILL IN].
- Correct every price, time, policy and area yourself.
- Save checked answers in WhatsApp Business → Business tools → Quick replies.
- Use Prompt 8.2 for greeting/away messages. Have a native speaker check Arabic if used.
Prompt 8.1 · Build my FAQ: Here are customer questions from the last month (names, numbers and order details removed): [paste]. Group them by topic, merge duplicates, and list the 20 most common questions. For each, write a short, friendly answer under 50 words. Where you do not know the facts (prices, times, policies), write [FILL IN] instead of guessing.
Worked example (fictional): Cedar & Crumb, after the owner’s corrections
- FAQ — Do you deliver? Yes, to Business Bay, DIFC and Downtown, 7am to 6pm. Delivery is free on orders over $80.
- /cake — Standard cakes need 48 hours, tiered cakes 5 days. Send the date, size and message and we will confirm the price.
- /office — For office breakfast, send headcount and start time. We will suggest a menu and price.
Fictional business; prices, times and areas are invented for illustration. Amounts in USD. Layout drawn for the guide, not a WhatsApp screenshot.
Done when:
- No [FILL IN] markers remain and every fact is checked by you.
- No customer names or numbers went into the assistant.
- Your most-used answers are saved as quick replies and tested on a second phone.
- Greeting and away messages are on, and the Arabic was checked by a native speaker.
You review every answer before it is saved or sent to customers.
Automate repeat work
Task: Save an enquiry and prepare a reply for review.
Output: Each new enquiry saved in HubSpot, a personalised reply waiting in Gmail Drafts, and an alert to you. You review and send.
Before you start: Bring the Tally form from 5B (email and consent required), HubSpot with contact creation, Gmail, and your real services/prices. Tools: Tally, HubSpot Free CRM, Gmail and Zapier Professional or above. No free route: Zapier starts at $19.99/mo billed yearly (about $240/year, usually upfront).
- Trigger: Tally → New Submission; load a test enquiry.
- HubSpot → Create or Update Contact, matched on email.
- AI by Zapier: Prompt 9.3 plus the enquiry fields.
- Gmail → Create Draft, never Send Email. Alert only your own address.
- Run T1–T3, fix unexpected results, then publish your Zap.
Prompt excerpt · Prompt 9.3, Instructions for an AI reply step: You write first replies to new enquiries for [business name], a [type of business]. Our services and starting prices, in US dollars (USD): [list]. … Write only the email body, under 120 words: thank them by first name, confirm what they asked about, answer only with the facts above, and suggest one next step: [booking link or action]. If the service or message is blank or unclear, ask one short clarifying question instead of guessing. … Never invent prices, dates, availability or promises.
Illustrative draft (fictional): a draft waiting in Gmail
- Status: Draft, not sent · To: test-sara@example.com · Subject: Your enquiry about Office breakfast
- “Thank you for your enquiry about office breakfast for 25 people. Our office breakfast starts from $10 per person, including delivery and setup in Business Bay, DIFC and Downtown.”
- “To confirm a menu and exact price, could you send us your meeting start time?”
Fictional business, test address and prices. Illustrative mockup, not a Gmail screenshot or a saved AI output. The guide states its exact automation has not been tested end to end; your own test submissions are what prove it works for your accounts.
Done when:
- Test submissions T1, T2 and T3 produced exactly the expected results.
- The draft step is Create Draft, and no step emails a customer directly.
- The only email the Zap sends goes to your own address.
- The AI instructions list your real services and prices, and nothing else.
- Error emails are on, and you know how to turn the Zap off.
Human review is required: every reply stays a draft until you read it and press send.
This automated route requires a paid Zapier plan (Zapier Professional or above).
